

Article 1. Mission Statement:
The primary purpose for the establishment of the Hellenic Society of USF is to promote the Hellenic culture and heritage and to educate its members, USF students, and the Tampa Bay community at large, regarding the various aspects of ancient and modern Greek (Hellenic) civilization. We aim to achieve this goal by presenting all expressions of Hellenic culture (ancient and modern), such as art, literature, folk dancing, etc., through lectures, forums, performances, and through cooperation with other organizations the activities of which fall within the scope of our interests.
Article 2. Name of Organization:
The name of the organization is Hellenic Society of USF
This organization was officially established on April 17, 2001
Article 3. Hellenic Society Logo:
The logo of the Hellenic Society of USF contains the following Greek letters:
Sighma Pi Kappa
Sofia = Wisdom
Paideia
= Education
Klironomia = Heritage
Article 4. Hellenic Society Membership:
Statue 1. The following requirements apply for active membership in the Hellenic
Society of USF:
a. One must be associated with the University of South Florida (USF) either
as an active student (undergraduate or graduate) or faculty/staff.
b. Membership is free for USF students (all campus locations) and faculty/staff.
Statue 2. All members of the Hellenic Society have the following unalienable
rights:
a. to vote
b. to nominate themselves and/or others for vacant associate chair committee
position(s).
c. to attend the bi-weekly ACC meetings and the General Body Meeting; in addition,
they are strongly encouraged to attend the general Meetings of the society.
d. to request a hard copy of the budget of the Hellenic Society's for the previous
fiscal year.
Article 5. Hellenic Society of USF Sponsors:
Statue 1. The following sponsors are actively affiliated with this Hellenic
Society of USF:
a. The American Foundation for Greek Language and Culture (AFGLC)
b. The Interdisciplinary Center for Hellenic Studies (ICHS)
Statue 2. Relationship between the sponsors and the Hellenic associate chair
committee:
a. The President of the Hellenic Society should be in active communication and
partnership with the American Foundation for Greek Language and Culture, since
there is partial overlapping in the purpose of the two organizations.
b. The Hellenic Society of USF should assist the Interdisciplinary Center for
Hellenic Studies (ICHS) in events which fall within the parameters of its interests.
c. The sponsors may request a copy of expenditures of sponsored events.
d. The sponsors may request a written explanation of the necessity of a sponsored
event.
e. The majority of the associate chair committee members must approve any new
sponsor; the committee members must make sure that the original mission and
regulations of the Hellenic Society's constitution are not violated.
Statue 3. Sponsor category is determined according to the following:
a. Sponsors that donate five hundred dollars ($500) or more are considered Great
Sponsors. A representative of every Great Sponsor has the right to vote along
with the other voting members of the Committee.
b. Sponsors that donate less than five hundred dollars ($500) are called Major
Sponsor; a representative of every Major Sponsor has the right to participate
(without vote) in associate chair committee meetings and general meetings.
Article 6. Academic Advisor:
a. The academic advisor is encouraged to participate in all meetings of the
society.
b. The advisor may propose and/or suggest functions for the Hellenic Society
of USF.
c. The advisor must work closely with the associate chair committee and offer
his/her best advise on issues related to both daily functions and direction
of the Hellenic Society.
d. The signature of the advisor is required for any documents needed to properly
execute a task.
Article 7. Associate Chair Committee Regulations/Obligations:
Statue 1. President:
a. The president of the organization is the top representative official for
the society.
b. The president presides over the Associate Chair Committee and General Assembly
meetings.
c. The president prepares the agenda for upcoming events and meetings.
d. The president is responsible for moderating messages and information on the
society's listserv.
e. The president is responsible for reserving a room for the meetings (and set
the specific dates and times of the meetings).
Statue 2. Vice-President:
a. The vice-president assists the president in all matters concerning the society's
functions.
b. The vice-president acts in lieu of the president when the latter is absent
or is unable to fulfill his/her responsibilities.
c. The vice-president may represent the organization when requested by the president.
Statue 3. The Secretary:
a. The secretary is responsible for posting upcoming events, news, and updates
on the listserv for the information of the members of the Society
b. The secretary keeps minutes at the ACC meetings, and General Assembly meetings.
c. The secretary keeps records of election procedures and records finalized
results of the elections.
c. The secretary records attendance in all meetings and activities (attendance
sheet to be presented).
d. The secretary is responsible for moderating messages and information on the
society's listserv along with the president.
Statue 4. The Treasurer:
a. The treasurer is responsible for recording on a regular basis the expenses
of the Society and for submitting and monitoring the PO's (purchase orders).
b. The treasurer presents a budget at a quarterly basis and/or upon request
from the President and/or Vice-President
Statue 5. Events Officer:
a. Information on a scheduled event must be presented to the President and Vice-President
for final approval of the event.
b. The events officer is responsible for making reservations for events.
c. The events officer accompanies the treasurer to make purchases and is responsible
for setting up events.
d. If the event officer is unable to attend or run the event, the ACC must be
notified in advance, so that the success of the event is guaranteed.
Statue 6. Webmaster:
a. The webmaster is responsible for setting up and maintaining the society's
website (posting new information, events, dates, times, etc).
b. The webmaster should communicate any information and new ideas to the president
and get his/her approval before implementing them into the society's website.
| Article 8: Attendance in meetings:
Attendance in meetings is optional. However, all officers must attend all meetings of the society. In the event that an officer has to miss a meeting, he/she must notify the president at least 48 hours in advance. If an officer continuously misses meetings, then that automatically raises a question and that officer will be voted off his/her office and be replaced by some other active member after the appropriate voting procedures. Statue 2. Results and Monitoring committee:
a. The two-member election monitoring committee consists of volunteers chosen
by the General Assembly.
b. The former President presides over the committee.
c. The first two candidates with the majority of votes automatically are named
President and Vice-President respectively of the organization.
d. The remaining chairs of the ACC are decided by the ACC committee through
vote, in its first meeting.
e. The election committee has the responsibility to ensure members that all
election regulations are properly followed and votes are properly counted.
f. The members of the Hellenic Society of USF have the right to watch the election
procedures and be present during the counting of the ballots.
Statue 3. Procedures regarding candidates receiving the same number of votes:
a. A new election is held for the candidates who have received the same number
of votes.
b. The members now vote for only one candidate.
c. In case of a second tie, the tie braker note is been cast by the acting president.
Article 10: Constitution Amendment Regulations:
Statue 1.
a. Proposals for the emendation of an existing article of the Hellenic Society
of USF constitution must be presented to the ACC and Board of Advisors.
b. The ACC committee introduces the proposal to the General Assembly.
c. The General Assembly votes after discussion. A proposal for emendation of
the constitution is adopted only when it meets the approval of ¾ of the
members present in the Assembly.
Article 11. Cooperation with other USF student organizations:
The Hellenic Society should seek to strengthen the bonds and cooperate with
the Classics Club, any International Club, and any other student organization
when the ACC committee deems that such cooperation yields benefits to the Hellenic
Society of USF and advances its goals and mission.
