COMMITTEE
CHARGE
AUSPICES:
The Commencement and Convocation Committee
is a standing committee of the USF Faculty Senate and receives
authority for its actions through that body.
CHARGE:
The Commencement and Convocation Committee
is responsible for advising the President, the Provost, the Vice
Provost for Faculty and Program Development, and other
appropriate university administrators on matters pertaining to
Tampa campus commencements and convocations; for providing
assistance in the planning and executing these ceremonies; for acting
as the marshal corps for the ceremonies; and for disseminating
information about commencements and convocations to units being
represented.
OPERATING PROCEDURES:
The committee shall develop its own
operating procedures, subject to the approval by the Vice Provost
for Faculty and Program Development or appropriate university
administrator, to
implement the responsibilities set forth in the charge.
Meetings will be held once a term to reflect
on and make recommendations for improving commencement or
convocation ceremonies. Other meetings may be called when an issue
or need is brought to the attention of the Commencement and
Convocation Committee Chair.
Other items of business will be communicated
via e-mail whenever possible for dissemination or acquisition of information
related to commencement or convocation events. Members of the
committee are representative or larger constituencies and need to
ensure the flow of information.
The Chair of the Commencement and
Convocation Committee represents the committee at all Faculty
Senate meetings, meets at the request of the representative(s)
from the Office of Special Events and Commencement, and serves as
the Platform Marshal at each ceremony. The President of the
Faculty Senate, or designee, serves as the Commencement Marshal at
each ceremony, carries the mace, and officially opens and closes
each ceremony.
Members of the Commencement and Convocations
Committee are entitled to right of first refusal to serve as
marshals for the ceremony or ceremonies of choice. In the event of
their unavailability to serve as marshals, they will assist the
Chair in obtaining representation when necessary. The Chair
collects the names of marshals and forwards them to the
representative of the Office of Special Events and Commencement.
MEMBERSHIP:

One faculty representative
from each college, campus, and unit with voting representation
in the Faculty Senate plus an additional representative from any
college having more than 250 full-time faculty members plus a
third representative from any college having more than 400
full-time faculty members, will be appointed for staggered
three-year terms, with one-third retiring each year. Retiring members may be reappointed
but must follow the nomination process as set forth by the
Faculty Senate. Units may request additional representation,
based on need commensurate with the number of graduating
students, by submitting a letter in writing to the Faculty
Senate.

Two upper division students,
will be appointed for one-year terms (may be reappointed)
(voting).

One alumnus will be appointed
for a one-year term (voting).

and Commencement (ex officio, nonvoting)

Director of the Sun Dome (ex
officio, nonvoting)

President of the Faculty
Senate (ex officio, nonvoting)

Representatives from various
other Commencement and Convocation groups such a Nursing,

APPOINTMENT:
The Provost will appoint the
voting members of this committee upon the recommendation of the
Faculty Senate.
CHAIR:
The chair shall be a voting faculty member
who has served a minimum of one year on the Commencement and
Convocation Committee. The Chair is elected by the committee
during the spring meeting, will take office in the fall, and may
be re-elected for subsequent terms.
